Sortd is a business management app for UK sole trader tradespeople, operated by Sortd (associated with Pegasus Mobile Bodyshop Ltd). Our platform is available at sortd.app.

2. What Data We Collect

We collect the following information when you use Sortd:

Account information:

• Your name and email address
• Your business name, trade type, and base postcode
• Your business logo (if uploaded)

Business data you enter:

• Customer names, phone numbers, email addresses, and addresses
• Job details, descriptions, dates, and prices
• Invoice and estimate information
• Expense records and receipt photos
• Mileage and trip records
• Team member details

Usage data:

• App usage patterns to improve the product
• Error logs to fix bugs
• Device type and operating system version

3. How We Use Your Data

We use your data to:

• Provide and improve the Sortd service
• Generate invoices, estimates, and financial reports
• Calculate your tax provisions and mileage allowances
• Send notifications about payments and bookings
• Provide customer support
• Ensure the security of your account

We will never sell your data to third parties or use it for advertising purposes.

4. How We Store Your Data

Your data is stored securely using Supabase, a secure cloud database platform hosted in the EU (Frankfurt, Germany). All data is:

• Encrypted in transit using TLS/HTTPS
• Encrypted at rest
• Backed up regularly
• Stored in the EU in compliance with UK GDPR

5. Third Parties We Share Data With

We share limited data with the following trusted third parties to provide our service:

• Stripe — for payment processing. Stripe processes payments on your behalf and has its own privacy policy at stripe.com/privacy
• Supabase — for secure data storage
• Anthropic (Claude AI) — for receipt scanning. Receipt images are processed to extract expense data and are not stored by Anthropic
• Expo — for app delivery and over-the-air updates
• Apple — for push notifications via Apple Push Notification Service (APNs)

We do not share your data with any other third parties.

6. Your Customer Data

When you add customer information to Sortd (names, addresses, phone numbers), you are the data controller for that information. You are responsible for ensuring you have the right to store and process your customers' personal data in accordance with UK GDPR.

We act as a data processor on your behalf and will only use your customers' data to provide the Sortd service to you.

7. Your Rights Under UK GDPR

Under UK GDPR, you have the right to:

• Access — request a copy of all data we hold about you
• Rectification — correct any inaccurate data
• Erasure — request deletion of your account and all associated data
• Portability — export your data in a machine-readable format
• Restriction — request we limit how we process your data
• Object — object to certain types of processing

8. Data Retention

We retain your data for as long as your account is active. When you delete your account:

• Your personal data is deleted within 30 days
• Financial records may be retained for up to 7 years as required by UK tax law
• Anonymised usage data may be retained for analytics purposes

9. How to Delete Your Account

You can delete your account at any time from within the Sortd app:

• Go to Settings
• Scroll to the bottom
• Tap "Delete Account"
• Confirm deletion

10. Cookies

The Sortd mobile app does not use cookies. Our website (sortd.app) may use essential cookies for functionality. We do not use tracking or advertising cookies.

11. Children's Privacy

Sortd is intended for use by adults running a business. We do not knowingly collect data from anyone under the age of 18.

12. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of significant changes via email or an in-app notification. The date at the top of this page shows when it was last updated.
